Bookings in Advance

An application to book may be made up to two (2) years in advance of the first proposed date of booking. The Annual booking process will start at the end of August each year with schools advised of their Tentative Booking by the start of Term 4.Tentative bookings are at the discretion of Tallebudgera Beach School.

Booking Deposit

A Tentative Bookings confirmation letter will be sent to schools by Tallebudgera Beach School.

Schools are required to complete all relevant sections and obtain principal approval before returning the confirmation letter to Tallebudgera Beach School. On acceptance of the offer to confirm your school camp a deposit will be swept from your school account by the DETE funds transfer system. The Deposit will be in accordance with the Tallebudgera Beach School Booking Deposit Schedule.

By completing the Camp Confirmation of Booking Form the applicant agrees with the Terms and Conditions set out in this summary

Payment of Fees and Charges

Upon completion of the camp at the centre, an invoice will be generated by Tallebudgera Beach School. The invoice will be signed by the camp coordinator on the final day. This signed invoice will be used to create a Tax Invoice that will be sent to the school advising them of the camp charges and that their account will be swept in accordance to the DETE intra-school financial transfer system.

Tallebudgera Beach School is a tenant of the Tallebudgera Active Recreation Centre and therefore must follow the agreed upon conditions of hire and procedures including booking variations and cancellations.

Cancellations

Notice of cancellation must be given in writing at least sixteen (16) weeks prior to the commencement date of the camp. The deposit paid is non-refundable.

Variations to Booking Numbers / Total Number of People Attending

Any changes to Booking Numbers (as initially advised on the Confirmation of Camp Booking Form) are to be advised to Tallebudgera Beach School as soon as possible.

Changes to the number of people attending camp are subject to the following:

  1. A reduction in attendance of greater than 10% (from booked numbers on the Confirmation of Camp Booking Form) will result in the same percentage reduction of the camp deposit refund (recorded in our final camp invoice).
  2. An increase in attendance above booking numbers advised on the Confirmation of Camp Booking Form will be accepted subject to accommodation availability.  Please consult the TBS Administration prior to accepting student numbers above the advised booking limit.
  3. If Tallebudgera Beach School is not advised of any student withdrawals four (4) working days prior to the camp any subsequent variations resulting in a reduction in numbers from those advised on the Confirmation of Camp Booking Forms,  individual information forms and group forms will be subject to full charge.

Two weeks prior to Camp

The completed Individuals Details Forms (Form B & Form C) must be provided to the Centre 2 weeks prior to the commencement date of camp. The onus is on the school to ensure that these forms are completed and forwarded to the Centre.

Catering

Self-catering is not permissible at the centre.

Disclaimer Of  Liability And Indemnity

The Hirer agrees to indemnify and keep indemnified the Department, and its servants and agents from and against all actions, proceedings, claims, demands, costs, losses (including but not limited to consequential losses), damages, liabilities and expenses,(except those arising from the negligent acts or omissions of the Department or its servants, agents and employees), which may be brought against the Department, and

its servants and agents (including claims made by parties other than the Hirer) as a result of the Applicant’s or its agents, servants or invitees attendance at the Centre, and the Hirer hereby releases and discharges the Department, their servants and agents from all such actions, proceedings, claims, demands, costs, losses, damages, liabilities and expenses.

Severability

If any part of these terms or conditions is determined to be invalid, unlawful or unenforceable wholly or to any lesser extent, such terms or conditions shall be severed from the remaining terms and conditions. The remaining terms and conditions shall continue to be valid and enforceable to the fullest extent permitted by law.

Breakages or Damage

The Hirer must report any facility problems or breakage to the reception of the Centre immediately. Hirers will be responsible for the cost of malicious acts and vandalism causing any loss, breakage of or damage to equipment and/or facilities.
